Marking parcels as expected at their destination

In ParcelTracker, marking a parcel as expected helps streamline the delivery and collection process by informing your mailroom team in advance.

There are two primary ways a parcel can be marked as expected, depending on your workflow and system setup.

1. Automatically Through an Integration

If your organization has integrated Parcel Tracker with external systems, such as e-commerce platforms, internal mail request tools, or procurement software, then parcels can be automatically marked as expected as soon as they’re generated using an API or Zapier connection.

This method provides advanced notice to the mailroom that a parcel is on its way.

It ensures the parcel’s chain of custody starts the moment the shipment is created, enabling full traceability. Ideal for environments where delivery forecasting and automation are critical (e.g., corporate campuses, universities, hospitals).

Note: This method maintains a complete and auditable record of the parcel’s journey, starting from creation to collection.

2 . Manually Through Internal Movement (Without Courier Tracking)

Parcels can also be marked as expected after they’ve already arrived and been scanned into the system, typically as part of internal workflows.

A parcel is scanned in normally when it arrives at the main mailroom.

Instead of an internal courier using Parcel Tracker to collect the parcel, the mailroom staff uses the internal distribution workflow:

  • Go to the Out tab.

  • Select Recipient Collection.

  • Choose the intended recipient’s name.

  • Click Move.

  • Select the appropriate destination site (e.g., another office building, department, or internal hub).

This process marks the parcel as in transit and “expected” at the receiving site. It’s commonly used in organizations with multi-site operations or centralized mailrooms that distribute items to various internal locations and use external couriers, which do not use Parcel Tracker, not allowing the chain of custody to be intact.
