How to Mark Outbound Deliveries as Collected by the Courier

Ensure an accurate chain of custody by logging exactly when outgoing parcels are handed over to the courier.

When an outbound package leaves your facility, updating its status to "Collected" is a crucial step in maintaining an accurate audit trail. Parcel Tracker makes this handover process seamless, allowing you to log the exact time of dispatch, record the courier's call sign, and even capture a digital signature. You can process this courier handoff easily using either the Web Platform or the Mobile Application.

Processing a Handoff on the Web Platform

If you are managing the mailroom from your computer, you can easily mark individual outgoing items as collected directly from your dashboard.

  1. Log in to your Parcel Tracker account, click Parcels on the main navigation bar, and select Outbound.

  2. Locate the specific parcel you are handing over and click the Check-out button under the Checked-out Column.

  3. A confirmation window will appear. Enter the courier's call sign, and their signature.

  4. Click Collect to finalize the handover and officially update the parcel's status.

A call sign is a unique identifier used to designate a specific shipment or transport unit.

Processing a Handoff on the Mobile App

The mobile app is perfect for processing batch collections on the go, especially when a courier arrives to pick up multiple packages at once.

  1. Launch the app and navigate to the Outbound section.

  2. Tap on Courier Handoff to begin the collection process.

  3. Select the appropriate Courier from the provided list.

  4. Tap Select All next to the sender's name to instantly grab all pending parcels assigned to that courier, or select the specific items manually.

  5. Tap Check-out Selected at the bottom of the screen to proceed.

  6. Enter the courier's call sign and capture their signature on the screen. Finally, tap Check-out Parcels to complete the handoff.

Why is this important?

By officially marking items as collected and capturing a signature, you close the loop on your outbound deliveries. This protects your facility from liability by clearly proving exactly when the package left your building and who took it.
