Multi-Mailroom: Recipient Check-Out and Move Feature

Learn how to check out parcels for specific recipients, understand the different check-out methods, and take advantage of the Move feature available in Multi-Mailroom environments.

What is the difference between Batch Check-Out and Recipient Check-Out?

While both features allow you to hand packages over to residents or staff, they are used in different situations:

  • Batch Check-Out: This method allows you to process multiple parcels at once by scanning each parcel’s barcode from the beginning rather than scanning a recipient's QR code for every parcel. It’s ideal for handling several items quickly, especially when dealing with bulk collections. You can also manually select parcels from the list of all pending items to check them out together in a single action.

    • This is a feature that must be enabled under your Parcel Tracker account settings on the web platform. You can refer to this guide here for more information.

  • Recipient Check-Out: This method is used when processing parcels for a specific recipient. You can scan the QR code that the recipient receives via email to instantly pull up their parcels. Alternatively, you can manually search for the recipient in the system, view their available parcels, and select which ones to check out.

What is the Move feature?

The Move feature is a specific function available for Multi-Mailroom setups under the Parcel Tracker Enterprise plan.

It allows you to route a parcel to another site or facility instead of completing the check-out. This is especially useful in environments where parcels may arrive at one location but need to be forwarded internally before reaching their final destination.

With Multi-mailroom, at the end of the check-out process, you can either complete the check-out or move the parcel to another site or facility, depending on your workflow.

How to Use Move during Recipient Check-Out

Follow these steps to check out parcels and see the move function during the check-out process:

  1. Open your Parcel Tracker App and navigate to the Out tab and tap Recipient Check-out.

  2. Search for and select the recipient manually using the search bar, or scan the recipient’s Check-out QR code if available.

  3. Tap on the blue bar with the recipient's name to view the pending parcels under them.

  4. Select the parcels you would like to process for check-out and tap Close.

  5. Once done selecting the parcels, tap Next.

  6. Tap Check-out to mark the parcel as collected if it has reached its final destination, or tap Move and select the next site if the parcel still needs to be routed to another facility.
