To get started and master the core workflow, all you need to do is follow the four simple steps below:
1. Add Your Recipients
Before you can start scanning incoming deliveries, you will need to build your directory by adding your recipients. Parcel Tracker's scanning technology relies on this information to match packages to the right people. If a recipient isn't in the system, the app will not be able to detect and log their parcels. There are two main ways to add recipients to your Parcel Tracker database:
Bulk Upload: Upload a CSV file via the web platform to add hundreds or thousands of recipients at once with just a few clicks. Learn more about how to do a bulk upload here.
Manual Entry: Manually add individual recipients via the web platform or mobile app, perfect for adding a few new move-ins without updating the whole database.
2. Log a Parcel
Once your recipient database is updated, you are ready to start scanning incoming parcels. You can learn more about how to log a parcel here.
Using the Parcel Tracker mobile app, you can scan the shipping labels of multiple parcels in one go. The system will read the names and automatically match them to the correct recipients in your directory.
If a shipping label is damaged or unreadable, you can easily bypass the scanner and manually enter the parcel information (such as the recipient's name and the barcode) directly into the mobile app or the web platform.
3. Notify Recipients Automatically
You don't need to draft individual messages when packages arrive. As soon as a parcel is logged into the system, Parcel Tracker handles the communication for you.
Recipients will automatically receive an email detailing the number of parcels waiting for them, along with a unique QR code they must present during collection.
If you enable SMS notifications, recipients will also receive automatic text message alerts and reminders.
You are in full control of this messaging. You can customize the wording of these alerts at any time by editing your templates.
4. Log a Parcel Out (Collection)
When a recipient arrives to claim their items, Parcel Tracker makes the handover process incredibly fast, secure, and eco-friendly.
Quick Scan: Using the mobile app, you can instantly log parcels out of your mailroom by scanning the QR code the recipient received in their notification email.
Manual Checkout: If the recipient cannot present their QR code, you can easily search for their name and log the parcels out manually via the app or web platform.
Proof of Pickup: In either scenario, you can require the recipient to draw an electronic signature on your screen as proof of pickup. Alternatively, if you are delivering the parcel directly to their desk or door, you can tap the Camera icon to take a picture of the package at its destination as proof of delivery.
