Recipient Check-Out: How to Collect Inbound Parcels

Learn how to process and hand over inbound parcels to their recipients.

What is Parcel Collection?

Parcel Tracker's collection feature lets you easily hand over and securely record all the inbound parcels retrieved by recipients at your site.

With the latest update, parcel collection is now handled through a single, streamlined flow. You can process collections in three ways:

  • By scanning a recipient’s QR code to instantly retrieve their parcels

  • By scanning parcel barcodes to check out one or multiple items at once

  • By using filters to locate parcels by Recipient, Drop-Off, or Courier

This flexible approach allows you to efficiently handle both individual and high-volume collections without switching between different workflows.

How to Collect Parcels on the Web Platform

Follow these steps to hand over a parcel using your computer:

  1. In your Parcel Tracker account, click Parcels in the main navigation bar. If you have enabled the Outbound Parcels feature, make sure to select Inbound under Parcels.

  2. Select the specific parcel you are handing over and under the Checked-out Column, click on Check-out.

  3. Ask the recipient to leave a signature or leave a note, then click Collect.

How to Collect Parcels Using a QR Code (Mobile App)

Once you notify recipients that they have parcels waiting for them, they will instantly get an email with a QR code. Here is how to process it on the app:

  1. Open the application and tap Out, then select Check Out.

  2. Press and hold the Circular Button to scan the recipient’s QR code. This applies a filter, allowing you to see the parcels for collection under the recipient.

  3. You may scan the recipient's parcels or select them manually by tapping the Parcel Cart icon.

  4. Review the scanned parcels or manually select the parcels you wish to check out, review their details, and tap Check Out to proceed.

  5. Since you scanned the recipient's QR code, a signature is not required — you may tap Complete Check-Out to proceed.

  6. If preferred, you may optionally add a signature, photo, or note before tapping Complete Check-Out to finalize the collection.

How to Collect Parcels Without a QR Code (Mobile App)

If a recipient cannot present their QR code, you can still complete the collection using either barcode scanning or filters to locate their parcels.

Option 1: Scan Parcel Barcodes

  1. Open the application and tap Out, then select Check Out.

  2. Press and hold the Circular Button to scan the parcel’s barcode.

    1. Repeat this step if collecting multiple parcels.

  3. Tap the Parcel Cart icon.

  4. Review the parcel(s) selected for check-out and tap Check Out to proceed.
    a. You can manually select additional parcels from this screen if needed.

  5. Choose at least one of the following to complete the collection:

    1. Add Signature

    2. Add Notes

    3. Add Photo

  6. Tap Complete Check Out to finalize.

Option 2: Filter and Select Parcels

You can also process the collection of inbound parcels using filters to narrow the list in the system—making it easier to locate and check out items by Recipient, Drop-Off, or Courier.

  1. Open the application and tap Out, then select Check Out.

  2. Use the available filters to narrow down parcels based on your needs:

    1. Recipient

    2. Drop-Off

    3. Courier

  3. Once a filter is applied, you can:
    a. Scan the relevant parcels' barcodes using the Circular Button, or
    b. Tap the Parcel Cart icon to view all filtered parcels.

  4. From the Parcel Cart icon, manually select the parcels to be collected and tap Check-Out.

  5. Choose at least one of the following to complete the collection:

    1. Add Signature

    2. Add Notes

    3. Add Photo

  6. Tap Complete Check Out to finalize.
