How to Manage and Customize Recipient Notifications

Learn how to edit the email templates sent to recipients in Parcel Tracker.

Only Owners and Admin users can edit email templates and notification settings. To learn more about mailroom user access, feel free to check the full list of mailroom users and their permissions here.

Parcel Tracker keeps everyone in the loop by automatically emailing recipients when their parcels arrive, when they're ready for pickup, or when someone new joins your mailroom. Rather than sending generic messages, you can customize these emails with your own branding, wording, and timing so they feel like a natural part of your organization's communications.

This article walks you through where to manage your notifications, how to add your branding, the different notification types available, and how to build and schedule your own templates.

Where to Manage Notifications

All of your notification settings live in one place. Go to Settings > Inbound Notifications to get started.


Add Your Branding

Before diving into individual templates, set up your global branding so every notification email looks consistent.

  1. Click Global Style.

  2. Upload your logo and choose the size you'd like it to appear at in your notification emails.

  3. Change the background and accent colors to match your branding.

  4. Click Update to save your settings.


Types of Notifications

Parcel Tracker sends a few different types of notifications, each triggered by a specific event:

  • Check-in – Sent when a parcel is checked in to the system.

  • Reminder – Sent repeatedly at a set interval until the parcel is checked out.

  • Check-out – Sent when a parcel is checked out of the system.

  • Invites – Sent once when a recipient is added to Parcel Tracker.

  • Move in (Multi-mailroom only) – Triggered whenever a parcel is moved into the site it's assigned to.

  • Move out (Multi-mailroom only) – Triggered whenever a parcel is moved out of the site it's assigned to.


Customize an Existing Template

If one of the default templates is close to what you need, you can edit it directly rather than starting from scratch.

  1. Hover over the default template you want to customize and click Open.

  2. Edit the subject line, heading, body, and any other fields you'd like to change.

  3. Click Submit to save your new email template to the system.


Create a New Template

Need something built from the ground up? You can create as many custom templates as you like.

  1. Click + Create Template.

  2. Choose the type of notification you want to create a template for.

  3. Give it a unique name so it's easy to find later, then edit the subject line, heading, body, and any other fields you'd like to change. Click Submit to save it to the system.

  4. Go back and click Assign Template, then select the template you just created to enable it for the site.


Additional Template Actions

Click the three dots beside any template to access these additional actions:

  • Schedule – Set a delay or schedule for when the notification is sent.

  • Assign to Sites – Assign your template to additional sites.

  • Duplicate – Duplicate the template to make editing easier.

  • Remove from this site – Unassign the template from the site.

  • Delete – Permanently delete the template from your Settings.


Scheduling Notifications

Sometimes you need a buffer between scanning a parcel and notifying the recipient — for example, giving your team time to sort deliveries before an email goes out. Instead of sending notifications immediately after scanning, you can delay them by up to 120 minutes or set a recurring schedule. This applies to Delivery and Collection notifications only.

  1. Click the three dots beside the template and select Schedule.

  2. Choose the number of minutes to delay notifications by, or toggle Enable on to set a recurring schedule instead.

  3. If scheduling, choose between:

    • Simple – Applies the same schedule to every weekday.

    • Advanced – Lets you set up unique time windows for different days.

  4. Click Update to save your schedule.
