How to Edit Email and SMS Delivery Notifications

Customize the email and SMS notifications that are sent automatically when you log new deliveries.

Only Owner and Admin users can edit email and SMS delivery notifications. To learn more about mailroom user access, feel free to check the full list of mailroom users and their permissions here.

Delivery Notifications

You can customize the automated emails and SMS messages sent to recipients whenever they are notified about a new delivery. This allows you to tailor the tone and information to match your specific needs.

How to Edit the Email Notification Template

  1. Log in to the web platform and select Notifications from the main navigation bar.

  2. Locate the Delivery section, click Actions, and select Edit.

  3. Select the Email tab to view the template editor.

  4. To rename the template for your own records, click the pen icon beside the title.

  5. You can now customize the following sections of the email:

    • Subject: The text the recipient sees in their inbox before opening the mail.

    • Heading: The main title at the very top of the email body.

    • Subheading: The primary notification text used to deliver the core message of the email in a brief, easy-to-read format.

    • Body: An optional field for providing additional long-form instructions or specific mailroom policies below the main message.

  6. In these sections, use the Variables dropdown menu to automatically pull in specific details like the recipient's name or the number of parcels and insert them.

  7. Use the toggles to decide if the collection QR code and advanced parcel details should be included in the notification.

  8. Click Submit to save your changes.

How to Edit the SMS Notification Template

After completing steps 1 and 2 above, once you are on the template editor screen, simply proceed with the following to customize your text messages:

   3. Click the SMS tab at the top of the editor. 

   4. Type your message directly into the text box provided.

   5. Insert specific details like the recipient's name or parcel location by using the               Variables dropdown menu.

   6. Click Submit to save your changes.

Restoring Default Settings

If you wish to discard your customizations and return to the original templates:

  1. Click the Restore Default button.

  2. Click Confirm on the verification pop-up.

  3. Click Submit to save the reset and return to the original settings.
